VendClarity LLC ("VendClarity," "we," "us") is a Michigan limited liability company that provides vending operations software (the "Service"). This policy describes what information we collect, how we use it, and the choices you have.
We use your information to provide and operate the Service, process the documents and queries you submit (including with AI features), provide support, process billing, secure the Service, and send service-related communications. We do not use your data for advertising.
We share information with a small number of processors only as needed to run the Service:
Platforms you choose to connect as data sources (such as Nayax) are governed by their own terms and privacy policies.
Nothing reaches the common catalog unless you choose to contribute it. You can turn on contributing supplier codes in Setup › Catalog — off by default, and reversible at any time — which shares the supplier, item code, and pack size for catalog-linked products when you commit a purchase. Separately, you can share an individual product from its product page, contributing details such as its name, category, packaging, and image; those are reviewed before other customers see them. Your costs, prices, sales figures, stock levels, machine data, financial data, and personal information are never part of the shared catalog. Entries you contribute remain in the catalog if you leave; if you delete your account, we remove the record linking those entries to you.
We do not sell your personal information. We do not share your business data with other customers except through the opt-in shared catalog described above. We do not run third-party advertising on the Service.
We retain your information while your account is active. If you cancel, we keep your business data for 90 days so you can export it or resume your subscription, after which we may delete it. If you request deletion, we will delete your information within a reasonable period, except where retention is required for legal, billing, or security purposes, and except for shared-catalog contributions as described in Section 5. Residual copies may persist in backups for a limited time before being purged.
We use industry-standard measures to protect your information, including encryption in transit, hashed passwords, and optional two-factor authentication. No system is perfectly secure, so please use a strong, unique password and enable two-factor authentication.
Support access. Authorized VendClarity personnel may access your account to provide support, troubleshoot issues, or perform setup you have requested (for example, our set-it-up-for-you onboarding). Every such access is logged, and we access only what is needed to help you.
You can access and update your account information in the Service, choose whether to contribute products to the shared catalog, and request a copy or deletion of your data by emailing support@vendclarity.com. We will respond to reasonable requests within a reasonable time.
The Service is a business tool and is not directed to children. We do not knowingly collect personal information from children under 13.
We may update this policy from time to time. If a change is material, we will provide notice (for example, by email or a notice in the Service) before it takes effect. The effective date above reflects the latest revision.
